Voice Logs is provided by Bytentic SIA ("Bytentic," "we," "us," or "our"). This Privacy Policy explains how we collect, use, disclose, and protect information when you use the Voice Logs mobile application, website, APIs, and related services (together, the "Service").

1. Information We Collect

Depending on how you use the Service, we may collect:

• Account information: identifiers such as your user ID, email address, authentication provider details, subscription status, and preferences.
• Recordings and user content: audio recordings, titles, tags, markers, participant names, transcripts, summaries, action items, notes, generated metadata, and other content you create, upload, sync, or generate through the Service.
• Technical and device information: app version, operating system, device type, request metadata, IP address, diagnostic logs, security signals, and similar operational data.
• Usage and analytics data: anonymous or aggregated information about app usage, feature interactions, performance, and crashes.
• Payment and subscription information: subscription status and entitlement information received from app stores or payment providers. We do not store full payment card numbers.

2. How We Use Information

We use information to:

• provide, maintain, sync, and improve the Service;
• process recordings into transcripts, summaries, titles, action items, and other generated outputs;
• authenticate users, protect accounts, prevent abuse, and enforce usage limits;
• provide customer support and respond to requests;
• monitor reliability, fix bugs, understand usage patterns, and improve performance;
• manage subscriptions, billing status, and access to paid features;
• comply with legal obligations and enforce our rights.

3. OpenAI and Processing of Recordings

Voice Logs uses OpenAI's API to provide its AI-powered features. When you request or enable transcription, we send the audio recording to OpenAI so that OpenAI can create a transcript. We may then send the transcript and relevant recording information to OpenAI to generate a title, summary, action items, and other requested insights. We share this content with OpenAI only to provide these Service features.

Voice Logs uses OpenAI's business API services, not a consumer ChatGPT account. OpenAI states that data sent through its API is not used to train or improve its models by default unless the API customer explicitly opts in. Voice Logs does not opt in to sharing your content for model training. OpenAI processes the content under its applicable business data terms and may retain API data as described in those terms. 4. Sharing of Information

We do not sell your personal information. We disclose information only in these limited circumstances:

• OpenAI: to provide transcription, summaries, titles, action items, and other AI features you request or enable.
• Service providers: for hosting, storage, authentication, analytics, crash reporting, security, and payment or subscription management.
• Legal and safety reasons: when required by law or needed to protect the rights, safety, and security of users, Bytentic, or others.
• Business transfers: as part of a merger, acquisition, financing, reorganization, or sale of assets, subject to appropriate confidentiality obligations.

5. Analytics and Crash Reporting

We may collect anonymous, aggregated, or de-identified analytics and crash information to understand Service performance, identify bugs, improve stability, and prioritize improvements. We do not use this analytics data to identify individual users.

6. Data Retention

We retain account information and user content for as long as needed to provide the Service and maintain sync, or as required for legitimate operational, legal, security, or dispute-resolution purposes. Deleting a recording removes it from active use and access through the Service. When you request account deletion, we immediately disable access and begin deleting the account and its user content from our active systems. Limited backup, log, security, billing, or audit records may remain temporarily where required for operational, legal, or security purposes. Information already sent to OpenAI is subject to OpenAI's applicable retention terms.

7. Security

User content is stored in access-controlled cloud infrastructure. We use administrative, technical, and organizational safeguards designed to protect information against unauthorized access, loss, misuse, or alteration, including encrypted transport, authenticated access, access controls, monitoring, and separation of production secrets. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

8. Your Choices and Rights

Depending on your location, you may have rights to access, correct, delete, restrict, object to, or receive a copy of your personal information. You may also withdraw consent where processing is based on consent. Contact us to exercise these rights. We may need to verify your identity before completing a request.

9. International Transfers

Bytentic SIA is based in the European Union, but the Service and its providers may process information in other countries. We use appropriate safeguards for international transfers as required by applicable law.

10. Children

Voice Logs is not intended for children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided information to us, contact us so we can take appropriate steps to delete it.

11. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will update the effective date and provide additional notice where required by law.
